Convention Information (Attendees)

Event Details:

Dates: November 7-8, 2024
Location: Emporia State University Physical Education, Health and Recreation Building - 1720 Morse Rd, Emporia, KS 66801
Parking: Gray parking areas are open to students and campus visitors at no cost. Carpooling is encouraged if possible.
Registration: Starts at 7:00 am on November 7^th in the PE, Health and Recreation Building Lobby (North Street Level Entrance). Please check in at the registration desk upon arrival to receive your badge, lanyard and attendee gift. If you have registered and paid for a lunch, your lunch ticket will be on your badge at registration. If you have registered and paid for a shirt, you will receive it at registration. Early Registration will take place from 6:00-8:00 pm on November 6^th in the PE, Health and Recreation Building Lobby (North Street Level Entrance).
Lunch: Those who have pre-purchased lunch will pick up their lunch boxes in the Rec Center immediately following the Opening Ceremony.

Schedule Overview:

The convention schedule includes presentation sessions, an opening ceremony, multiple professional tracks, a keynote speaker and social events designed to enhance your professional development. A pre-convention workshop presented by the US Soccer Foundation will be held on Wednesday, November 6 from 3:00-6:00 pm in the ESU PE, Health and Recreation Building Gyms. Pre-Registration for this event is required and limited to 60 attendees. Attendees will enter the building through the Lower Level on the North side of the building. Look for signs to direct you.
The Opening Ceremony on Thursday, November 8 at 11:00 in the ESU Rec Center will feature a welcome from KAHPERD President, Jaime McVay, the annual parade of presidents, and a Keynote Address from Emporia native and DII National Wresting Champion, Noel Torres.
KAHPERD Future Professional College Bowl will take place at the Emporia State Football field Thursday, November 7 from 4:00-5:30. All attendees are encouraged to attend the event and cheer on our future professionals.
The Professional Awards Banquet and Attendee Social will take place Thursday, November 7 at 6:30 pm at Casa Romas in downtown Emporia. All KAHPERD Convention attendees are welcome at the event to celebrate the award winners and socialize. Heavy hors d'oeuvres will be provided. A cash bar will be available, and attendees can purchase items off the regular menu at the event.

What to Bring/Prepare:

Please bring any materials or devices you might need. ESU Guest WIFI will be available.
Dress code is PE and Health Professional. Please wear non-marking shoes to protect the gym floors. Other footwear will not be allowed in the gyms.
Please have lids for any liquids or water bottles. Drinks without lids will not be allowed in the gyms.
Food will not be allowed in the gyms.

Special Highlights:

Over 20 PE, Health, and Recreation exhibitors will be available for you to visit all day Thursday, November 7 in Gym D. Please stop by each exhibitor to see what they have and to thank for supporting KAHPERD. A dedicated Exhibit time has been set from 10:00 – 11:00 am.

Dear Presenters

We are thrilled to welcome you as a presenter for the 2024 KAHPERD Convention, taking place on November 7-8, 2024, at Emporia State University. Your contribution to this event is invaluable, and we are excited for the insight, expertise, and innovation you will bring to our attendees.

Presentation Information
Please see the most up to date schedule on the KAHPERD Sched App (Coming Soon) to confirm your session time and location. Each room will have the presentation schedule for that specific room.

Please arrive at least 10-15 minutes before your session to ensure you are set up and ready to go. Each session will be 50 minutes. Please finish on time so that the next presenter can start on time. Volunteers will be available to assist you with room setup and any technical needs you may have. They will also introduce you to the audience at your session.

Equipment and Setup
Each room will be equipped with projectors. Please bring appropriate adaptors for your presentation device if needed.

Presentation Materials
If you have any handouts, slides, or other materials that you would like attendees to have access to about your session, please email them to Convention Manger, Mark Ellner, by November 5 at 6:00 pm. We will ensure these are made available digitally to all attendees during and after the event.

Networking and Special Events
As a valued presenter, we encourage you to attend other sessions and social events where you’ll have the chance to connect with other professionals in the field.

Dear Exhibitors

We are excited to welcome you as an exhibitor for the 2024 KAHPERD Convention, held on November 7-8, 2024, at Emporia State University. Your participation plays an essential role in the success of our event, and we are thrilled to showcase your products and services to our attendees.

Exhibitor Date and Time: Thursday, November 7, 8:00 am – 4:00 pm
Location: Emporia State University PE, Health and Recreation Building Gym D - 1720 Morse Rd, Emporia, KS 66801.

Exhibit Setup Times
To ensure you have plenty of time to set up your booth, we have the following setup windows available:

November 6: 6:00 PM – 8:00 PM – Enter Through Lower Level – North Side of Building. Look for signs directing you.
November 7: 6:00 AM – 8:00 AM – Enter Through North Entrance on Street Level.

Please plan to have your booth fully set up by 8:00 AM on November 7, as attendees will begin arriving shortly thereafter. Volunteers will be on hand during setup times to assist with any logistical needs or last-minute questions.

Exhibit Hours
Your booth will be accessible to attendees throughout the convention on Thursday 8:00 am to 4:00 pm, with peak times occurring during breaks between sessions. A dedicated exhibitor visitation time has been set from 10:00 to 11:00 am. We encourage you to engage with attendees and make the most of this excellent networking opportunity.

Exhibitor Materials
If you require specific equipment or assistance with your display, please let us know by November 4 so we can accommodate your needs. Standard booth setups will include an 8-foot table in Gym D. Premium Booths and custom booths will have specified equipment provided.

Networking and Convention Activities
As an exhibitor, you are welcome to participate in all convention activities, including our Professional Awards Ceremony and Attendee Social on November 7 at 6:30 pm at Casa Romas in downtown Emporia. where you’ll have the chance to connect with educators and professionals in the field. We hope you’ll take advantage of this opportunity to build relationships and gain visibility for your products or services.
